Hardcopy paper medical records are notoriously vulnerable to security violations. Hazards ranging anywhere from unprotected FTP access to normal (and unfortunately common) human error make medical file storage a challenge for healthcare providers everywhere. The Health Insurance Portability and Accountability Act (HIPAA) instituted guidelines for the secure handling of clients’ Protected Health Information – or PHI – and officials follow through with strict recourse anytime an agency fails to maintain compliance.
Stabilizing Your Storage
How can all of those lighter-than-the wind individual pieces of paper become such a dense and heavy mass when collected and filed? Anyone who has ever been tasked with moving a full filing cabinet, or boxing the contents of one up for storage, knows that it takes a bit of strength to budge that weight.
Many offices are stocked with filing cabinets, lateral files or other storage methods that not only collect that paper weight, but stack it fairly high. A danger exists in any of these storage units becoming top-heavy, especially when an upper drawer or large door is opened in the process of accessing a record.
In order to avoid disaster, offices have traditionally relied on obvious, unsightly overhead anti-tipping systems to keep tall pieces of shelved storage from toppling over. Not only do overhead systems create a less-than-ideal aesthetic, they also often make the space on top of the storage pieces unusable.
We are therefore quite pleased to let everyone know about Datum’s® Lower Anti-Tip Bi-Slider system. Designed to work with our popular TrakSlider™ systems, the Anti-Tip Bi-Slider does its work from beneath the unit, staying out of sight while keeping everything upright and stabilized – even with upper drawers or doors left hanging open. In fact, the Anti-Tip Bi-Slider can be retro-fitted to older TrakSlider systems, if they were manufactured after December 1, 2014.
This system can be purchased in a number of configurations, with standard widths of 24, 30, 36, 42 or 48 inches and standard depths of 12, 15 or 18 inches. The tracks are easily leveled to compensate for bowed flooring or other anomalies in the storage space itself. Best of all, there is no need for overhead contraptions, freeing up the space above for additional storage if need be.
